Rental Equipment Traceability

Track every rental from check-out to check-in. Automate pricing. See your fleet in real time.

Overview

Rental equipment businesses lose visibility the moment products leave their facility. Without tracking, you can't identify specific rentals, return dates, or whether customers pay correctly. Pricing calculations happen manually with errors in both directions—undercharging or overcharging. You make inventory and pricing decisions on gut feel rather than data.

The IoTReady Operations Traceability Platform solves this with simple QR code stickers on each equipment unit. At check-out, operators scan the QR code to record which customer received what and when. The system automatically calculates rental charges based on equipment type, duration, time-of-day pricing, weekend rates, and discounts. At check-in, another scan completes the transaction. Every piece of equipment has a unique identity and complete rental history. You see real-time inventory: how many units of each type are out, which ones are overdue, which need maintenance. Usage analytics reveal which items get rented most, which sit idle, and when your peak demand periods occur. Saturday afternoons become your obvious bottleneck—you need 15% more inventory. Pricing decisions, maintenance scheduling, and capacity planning shift from guesswork to data. Integration with invoicing and billing systems automates the entire workflow from scan to payment.

End-to-end bike rental workflow: from fleet import and QR registration through rental cycles, audits, and maintenance to live dashboards.

Your Workflow, Step by Step

Every step uses simple QR code scans. No special hardware needed — any smartphone works.

1

Import Fleet & Print Labels

One-time setup

Import your current list of bike types (mountain, city, electric, kids, etc.). The system creates an UNASSIGNED item code and bulk-creates assets with printed QR labels for each bike.

2

Register Each Bike

register_asset

Stick a QR label on a bike, scan it, and select the correct item code (e.g. "Mountain Bike 26-inch"). The register_asset activity changes the asset from UNASSIGNED to its actual type. Each bike now has a unique identity.

3

Configure Maintenance Schedules

Per item code

Set up maintenance schedules per bike type — e.g. monthly brake inspection for mountain bikes, weekly tire check for city bikes. The system auto-generates maintenance tasks for each individual asset on schedule.

4

Rent Out a Bike

assign_custody

Customer picks a bike. Operator scans the QR code and uses assign_custody to link that specific bike to the customer. Customer name, bike ID, and rental start time are recorded instantly.

5

Receive Bike Back

return_custody

Bike comes back. Scan the QR code and use return_custody to complete the rental. Duration is calculated automatically. The bike is immediately available for the next customer.

6

Weekly Cycle Counts

cycle_count

Walk through your fleet and scan each bike using cycle_count. Instantly identify missing bikes, misplaced units, or bikes that haven't been returned. Reconcile your physical fleet with system records.

7

Perform Maintenance

perform_maintenance

When a maintenance task is due, scan the bike and use perform_maintenance to complete the checklist. Take a photo of the bike condition. Record brake adjustments, tire replacements, chain lubrication — all linked to that specific asset.

Frequently Asked Questions

How much does it cost to tag rental equipment with QR codes?
QR code stickers cost pennies per unit. Tagging 100 bicycles costs under ₹1,000 total with no special hardware required. Implementation takes hours, not days.
Can the system handle different pricing rules for different equipment types?
Yes. Each equipment type has its own pricing: hourly, daily, weekend surcharges, bulk discounts, loyalty pricing, and seasonal adjustments applied automatically at check-in.
How does real-time inventory tracking improve rental operations?
Every check-out/check-in updates inventory instantly. See available, rented, and overdue units at a glance. Alerts fire for late equipment and utilization reports show usage patterns.
